how to speed up loading my Photos library

Mac mini (Late 2014)

2.6 GHz Dual-Core Intel Core i5

8 GB 1600 MHz DDR3

1 TB SATA Disk

My Photos library is about 20GB. When I want to find and use one picture it has to load the entire library from scratch, a lengthy process. Example: to attach one image to an email takes a minute to load the whole 20GB library for me to choose the image. Can I divide the library in some way so that it only loads (say) the last 3 months of images, thus speeding up and simplifying the process?

Mac mini, macOS 12.6

Ahh, léonie (as is often the case) has understood your question better than I. There are 3 things:

  • Instead of Mail>Attach>Photos, use Mail>Photo Browser. It presents you with albums instead of the entire library. I wouldn't call it fast, though.

  • If you use drag and drop, that isn't strictly supported by Photos, so you may not get the image you want. However, when I do it (I'm also using Monterey) I get a full-resolution, edited image. The size is determined by the choice on the right side. You can choose actual size, if you wish. This also includes metadata.

  • Another option is to use File>Share>Mail in Photos. The downside for this is that it always starts a new mail, and I tend to start the mail and then decide to include a picture. But you can copy and paste from one email to another.

Photos is always open for me, so drag & drop (though strictly not supported) works best for me.

Are you accusing Photos from the Media Browser? That is indeed a bit slow. When I want to find a photo, I launch the Photos.app, and that is taking just a few seconds for Photos to open, and my library is larger than yours, roughly 250GB of photos and videos.

Splitting the library will not help, as only one Photos Library can be used with the media browser. You would have to create a small library with only your favourite photos you want to access from other apps and move the other photos to a separate archive library. Then make the smaller library with the favourites your system Photos Library.

That is certainly too long to put a picture into an email! But what do you mean by "it has to load the entire library from scratch?" Where is it being loaded from? Most people have their Photos Library in their Pictures folder, and image manipulations are nearly instantaneous. With a 1 TB drive and 20GB Library, it seems that you would have room to keep your's there. If so, something weird is going on. On the other hand, there are other systems that you might mean by "load the entire Library."

Lots of people use Apple's iCloud.com to sync their Photos Libraries with their iPhones, Macs, and iPads. This is mostly transparent and fast. To save storage space, Photos can be asked to keep only smaller copies of the pictures on the internal drive, and ti gets full sized images from iCloud as needed taking, usually, a second or two. Is this what you're seeing? If you're syncing with iCloud you have iCloud turned on in your Photos Preferences. If this is the cause of the delays, you can still use iCloud, but use Photos>Preferences>iCloud to tell Photos to "Download Originals to this Mac." Then there will be no need to load the library.

Photos Libraries should never be located on "cloud drives" like One Drive and such. All kinds of things go wrong.

Some people keep their Photos Library on an external drive. Photos is quite picky about the external drive-- it must be formatted in either APFS format or Mac OS Extended (Journaled) format. And the drive can not have been used for Time Machine since it was formatted. Many drives, including all Flash drives, must be re-formatted before they can be successfully used for Photos. And flash drives are usually very slow.

If this is helpful, let us know. And if you need more information, tell us about your preferences especially the following:

In Photos>Preferences>General,

Is "Use as System Photo Library" grayed out (indicating it is) or solid (indicating this isn't your system library)?

Is "Copy Item to the Photos Library" checked? (This is the default, indicating a "Managed Library")

In Photos>Preferences>iCloud

Is "iCloud Photos" checked?

If it is, is "Optimize Mac Storage" check?

Thank you very much Léonie and Richard. It's kind of you to take all this trouble to help me.

Yes, in Photos/preferences/General I have "Use as System Photo Library" grayed out and "Copy Item to the Photos Library" checked.

In Photos>Preferences>iCloud I have not checked "iCloud Photos" - this seems to be a paid-for service which I'd rather not have. And I'm not particularly looking to sync this Mac with other devices.

I'm pretty sure I have the library in my Pictures folder and definitely on my internal hard drive. What I'm doing with email is to create a mail, then press the attach-file (paperclip) button, then in the file list (is this what you call the Media Browser?) I hit Media/Photos and then w a i t for all 6000-odd thumbnails to load so I can choose one.

The alternative of opening Photos and dragging one of the thumbnails to the email window gives me a reduced-quality picture to send (eg 300KB rather than 4MB).

Many thanks so far: any further diagnosis or advice you could offer I would really appreciate!

Peter
