Tags don't work on applications' window

I am new to macOS after years of being a Windows user. I have problems with the Tags feature of folder and files. This works fine in Finder, but somehow it does not work in application's windows??


for example, in Ms Word (and all other applications), if you do not have the file you want to open in the recent list, you'll need to browse the file. In my case, when I choose 'open', in the browsing window to open files, in the left pane: when I click the tags, it does not show folders or files that are commonly shown in normal Finder. This is very frustrating since I have to manually browse the folders to find the file. Am I missing something or is this a common problem for MacOS? thank you

After just now testing this, I found that even after having already enabled Tags in Finder from within Finder, I had to enable Tags in the finder window from within the app. IE-Microsoft Excel, by Right clicking in the column heading and selecting Tags. In the Finder View menu, select Show Path Bar. In an open Finder Window, locate Tags on its sidebar and when you pass a mouse over the Word tags a > symbol will appear. Click and that will display your tags. It is important to do this before you launch Word and use the File Open… menu item. Because, when you open that panel with Tags previously shown in a Finder sidebar, they will also be active on this File Chooser sidebar. True in Word v16.100.2 as I just tested this on Sequoia v15.6.1.


When you locate a file, click once on it and the Path Bar will display the file path at the bottom of the panel window. Those elements of the Path Bar are also selectable. You can also click once on a file in this window and press the spacebar to display it in a Quick Look window incase you are uncertain of its contents. This will not display exactly as Word would when it is opened in Word.


Something else you can do even before you launch Word is to search for the Word documents via Apple's Spotlight which can be used in a Finder Window search field, or from the 🔍 on the Apple menu bar. Spotlight uses case-insensitive and non-wildcard searches. For instance:

kind:word name:kant created:08/01/2025-08/30/2025 author:anon


would find every Word document with "kant"in its name created in that date range whose author name contains "anon" (e.g anonymous). This is expanded upon in: Narrow your search results on Mac - Apple Support


You may find: Mac User Guide - Apple Support useful. Try not to expect the Mac to work like Windows, but rather learn to use the Mac as it was intended. That link will help.

Thank you for the reply. I never think of that (doing tags also within apps) which I think will be an inefficient thing to do. but guess what, I tried and still no luck, the folder/files I tagged are not opening when I call back within this app windows, but somehow it 'actually tagged' and worked in Finder.


I also need to mention this: this problem (not working tags) I found in Ms word, excel, ppt, Mendeley Reference Manager, and probably more. But it actually works in Acrobat Pdf, ie. when I choose File>Open.., the tags color works. Strange and frustating.

Thank you for your reply. It is not that I could not find the files I want to work on; I can always find them and open them from Finder. But... I am sure it is an intuitive thing to do: when you are in some application and need to open something, what you'll do is definitely go to File>open.. and so on. That menu is there for that purpose isn't it?

And I am not trying to expect Mac to work as Windows, as I am sure none of the problems I mentioned implies that. Again, that color tags are there (in apps' open file window) for this reason, isn't it?


However, I also need to mention this: this problem (tags not working) is found in Ms word, excel, ppt, Mendeley Reference Manager, and probably more. But it somehow works in Acrobat Pdf, ie. when I choose File>Open.., the tags color works. This problem might be on those apps, but, where should I ask to? Maybe I need to just accept this annoying problem. Thanks again

Like I said, if you enable the tags in a normal Finder Window sidebar, they should be visibly present in an Apple application File -> Open side panel too. WIth some caveats…


An Apple application is not opening a Finder Window, it is using a custom Apple developer Class named NSOpenPanel to represent a Finder-like Choose File panel. Internally, Apple may be looking at settings in the Finder Preferences file in an attempt to decorate some features of the Finder in that open panel. This could vary by Apple or third-party product development teams though.


Third-party applications written for macOS may use Apple's NSOpenPanel, or their own custom File Chooser panel. In the latter case, it won't know about your previously enabled tags on the Finder Window.


Personally, I seldom use any application File -> Open… solution. I know where files are located, or use Spotlight search syntax to locate them. Then, double-click, or right-click -> Open With <application> to access and open them. Even when there may be one or more tags on the files in question.

I have an older version of Word (2019) and it shows the tagged files in the Open File dialog.


The Tags items in the Sidebar are Spotlight searches for the selected tag. If your Spotlight index is corrupt or incomplete, it might not find those items, but since it works in Finder that wouldn't be the issue.


I also tried with Affinity Publisher and it works fine there.


Since you have a problem with many applications, it may be something else interfering with the search.
