My system photo library showing on all my Macs

I have 3 Macs where I am the system administrator and each of these is linked to my Apple ID (Apple Account). My newest Mac Mini M4-2024 and my Mac Mini INTEL-2018 are both running macOS 15.5 - Sequoia; and my MacBook Pro-2016 is on macOS 12.7.6 Monterey (highest this mac can run).

In the Photos App on each Mac when I open my "main" photolibrary and go to "Settings" the "Use as System Photo Library" is greyed-out meaning that each of the 3 macs has its own "System Photo Library". IS THAT HOW IT SHOULD BE?

For each of the 3 macs I have chosen to have the full-size photos and videos download to each respective Mac -- I like having the photos available in full-size to access them when not connected to the www. (But for my iPhone 16 Pro I have selected "Optimize iPhone Storage" (not "Download and Keep Originals) because I don't wish to fill-up my iPhone with originals…

OK but back to the issue (if it is an issue) with the 3 Macs all having a "System Photo Library" (and all the photos and videos in the System Photo Library are the same on each mac): IS THAT THE WAY IT SHOULD BE? IS EVERYTHING A.O.K. HERE?

Thanks for any comments or links -- Everything seems to be fine - I don't have any duplications and all 3 macs show the same exact photos and videos (which are also the same on my iCloud account when I access it from the Safari browser) – but just seemed a little strange that each Mac has a "System Photo Library" when there is only 1 "Library" in iCloud.

Yes, that is exactly how it works. The System Library on each Mac is the only one used for iCloud which will be available on all devices. You can open a different Photo Library on the Mac and those photos will not be synced to iCloud. If you designate that Photo Library as your System Photo Library, then any photos there will be merged with those in iCloud and once again all photos will be the same across all devices. There is only 1 Photo Library in iCloud and that is the System Photo Library.

Excellent reply, Servant of the Cats, and thanks!! I like this last paragraph you wrote:

"If you are using iCloud Photos on all three Macs, under the same Apple ID, then each of the Macs will be attempting to keep its local System Photo Library in sync with iCloud Photos. By this means, the Macs will indirectly sync with each other, and with your iPhone."

I hadn't thought much about this when I just had one computer -- but with 3 all working just fine (my Mac SE 4/40mb from 1989 is still working but I need to get a new CRT)(not sure I'll ever find one!) - I now see how this "System Library" works and your explanation makes it very clear!!

Thanks and much appreciated! Steve on Wednesday 30 July 2025

The System Library is the one that other apps on the Mac can use-- it's the one that Safari goes to, for instance, when you do an upload or download. The System Library is also the only Library that connects to iCloud. While Macs can have more than one Library, there an be only one System Library. iCloud, iPhones, and iPads have only one Library, so there's no need to designate them as the System Libraries.

The System Library on each device is really a separate entity, and even if you do choose Optimize, you are always looking at pictures that are on the device. Photos doesn't show pictures from the internet. It shows pictures stored in its Library. If Optimize is used, then smaller resolution images are kept local, and those are the ones you use--until you go into Edit mode where larger images are downloaded from iCloud.com.

One of the disadvantages of Optimize is that you can't back up files that aren't there. So it's important, if you can, to have one Mac Download Originals, and to regularly back that Mac up with something like Time Machine.

So--you're doing fine!

It's greyed-out to tell you that you have already selected that library as the System Photo Library. There's no need to go into LIBRARY A which is the System Photo Library and change it to be the System Photo Library again. If you went into LIBRARY B, the control would be available because using it would actually do something.

If you are using iCloud Photos on all three Macs, under the same Apple ID, then each of the Macs will be attempting to keep its local System Photo Library in sync with iCloud Photos. By this means, the Macs will indirectly sync with each other, and with your iPhone.

Thanks so much, Richard Taylor! I understand it now and also appreciate the time you took to clarify the "Optimize" issue. For my iPhone I use optimize but not for my Macs -- and that way when I do a SuperDuper! backup I know I've got my full-size photos backed-up, too.

Indeed with 16 external HD's and SSD's I'm somewhat of a backup nut… (And also SugarSync for my top 50 gb of files). Interesting that from 1975 (50th wedding anniversary this year) until 2003 I had 5,876 photos in 22 albums. Got my first digital camera 1 March 2004 and today, in those past 21 years I have some 178,234 photos in 91 different PhotoLibraries… most backed-up 3x on those external drives… (Now making printed albums but I'd better (i)live to 100 and (ii)stop taking photos now if I want to turn them all into albums!) We took a 50th wedding anniversary trip to India in Feb-March this year - took over 5,000 photos but the album only has 406 pics -- quite a project that was! Took longer to do than the vacation!

OK just really appreciate your reply!

Thanks, Mac Jim ID!! Excellent and appreciate your clarification that you wrote: "The System Library on each Mac is the only one used for iCloud which will be available on all devices." That really cemented my understanding along with other replies I received. Much appreciated and thanks for that link you posted as well!
