Multiple Selection Drop-Down Lists on Numbers

Hello ! I know that Numbers allow you to create Drop-Down Lists via Data Validation. However, it only allows for one value to be selected. Would it be possible to create a drop-down list where you can have multiple selections or if not what would be a good alternative to that ?

You can make a pop-up menu with multi item selections, as seen in this example:


Note that there are limits to the amount of text in a selection, and to the number of items in the menu list.


You could also make a set of pop-up menus, each with a number of one item choices within a specific category.

Multiple choices in this set would be a choice from each column (Example: starter, drink, main, dessert).

Thanks for reply. I am confused. In spreadsheets, columns are labelled as A, B, C etc. Rows are labelled as 1, 2, 3 etc.


Please click on your table to make it active. Then take a screenshot (shift command 4)and drag to include the top left of your table including column letters and row numbers. Then post the screenshot into a reply (click on the "mountains and moon" symbol to insert:

Hi Ian and Barry,


Sorry for the late reply ! I apologise for the confusion of using "Row A" instead of "Row 1". I have attached a screenshot as requested. As of now I know that in each cell, when you choose an Option, it only shows that one result. Hence if I wanted to attribute multiple selections I would need multiple cells to accommodate for it. I was wondering if you can select multiple options and having them show up within the same cell (ie. Option 1, Option 2, Option 3) as in the example in the third column.


I have also attached a YouTube video of the same thing being done in Excel (more likely the "New Line" example) that I was wondering if is able to be replicated in Numbers ! Hope this helps to clarify things !

Thank you for the screen shot. Numbers has Apple Script, and I am not familiar with that. I am still puzzled about your overall aim. What will you do with the multiple selections in the same cell?


OK, here is one Numbers approach.

Pop-Up Menus in A2 to C4



Formula in A8: A2&" "&
A3&" "&
A4

Fill right.


The left arrows are soft returns (option return).


So, multiple selections in single cells. Now what?

Thanks Barry, that is really helpful !! However, the options I have are quite long and would probably look messy if done in this manner. Also, it would be ideal to avoid using substitutes like (Option 1, Option 2) etc so that it is easier and would not need to have another reference, which was an initial alternative solution that I was thinking about

Hi Ian, thanks for replying to my thread ! For my case there is no hierarchy of options, it doesn't matter which is chose first. The issue I am facing is that per row, the selection could fall under several options so it would be ideal if we could mark out the various options it falls under hence the multiple selection !


So like say Row A might fall under Option 1, Option 2 and Option 3 whereas Row B might be Option 1 and Option 3


Image wise it could look be portrayed like this:

Is choosing "Option 3" in 'row A' the same choice as choosing "Option 3" in 'row C', or are the choices different, depending on which pop up menu each is contained in?


If they are different choices, the order of choice would change the outcome. If the individual choices are, for the same number, the 'same choice', does the order of choice have any effect on the end result?
