office365 mail stopped working on all our machines

Hi, Can any one advise what settings need to be changed so we can access all our emails on our Macs. Unfortunately we use BT and our emails are office 365 they stopped working last week on desktops and mobiles. The emails are all fine on the PC's just all our Macs.

Hey there dpiuk,

Thanks for reaching out to the Apple Support Communities. For the best steps that can help with troubleshooting issues with sending and receiving emails on your Mac, check out this link here: If you can’t send or receive email on your Mac - Apple Support

We'd also recommend checking out this additional resource from Microsoft's support that may be able to provide some additional steps: I can't connect to my Exchange account in Outlook for Mac - Microsoft Support

If still running into issues after going through the steps above, we'd recommend reaching out to Microsoft's 365 Support here: Microsoft 365 help & learning

Best regards.

What email client are you using? I recommend using Outlook to connect and see if that works. Outlook has a direct Office 365 connector and should always work. It's probably because your Office 365 password needs to be reset. Try deleting your mail profile and re-adding it. It will the prompt you for your new password. Outlook is a good test to see where the issue lies.

This sounds strange regarding the domain hoster, because the use of mail accounts is completely independent of the operating system, at least it is like that on our computers. And it has nothing to do with POP or IMAP protocols, which OS is querying a server.

And also the statement that Microsoft no longer supports POP for Mac computers sounds strange. Which mail software is used? Apple Mail, Microsoft Outlook? Or ...?

Our domain is parked with BT ( British Telecom ) they use office365 as the system for emails. Our emails are not on the exchange, they use a lite system, sort of a free system with office365, for last 8 years all emails have been pop and on Mac mail without issues. To access our emails if mail had issues we can log in online via office365. Last week Microsoft turned off our access via a Mac, Mac outlook doesn’t work either. The only access is via browser. They turned off pop, reason from BT is this is no longer secure. We have to upgrade all mail boxes to exchange but this can’t be done till after 31st March. We have asked BT to speak to Microsoft to divert our emails to gmail as they had this turned off. It’s remarkable the level of incompetence from BT. We now have to move domain and email over to google.

Microsoft haven't actually turned off POP, it's still supported and will be in the future. What they have turned off is basic password authentication. They now only support what they term "modern" authentication, which is more widely known as "OAuth2".

Apple's Mail app only supports OAuth2 authentication with Exchange accounts, but not POP. So you're out of luck with the Mail app if your only option is to use POP.

You could try alternative mail apps until your provider sorts out Exchange account access. One Mac client that supports POP with OAuth2 authentication is Thunderbird, from Mozilla. I can personally vouch for that one working (make sure you choose "OAuth2" as the "Authentication method" when setting up the POP account). I haven't tried alternative iOS mail clients, though.

Hope that's of some help.

Thank you for clarifying that, not sure why our IT support could not have explained this. Our biggest issue is we have years of email conversations within Mail so this data is required when a customer contacts us, most of the important details are moved into asana but daily we have to read back through conversations, so moving to a new app is frustrating. A lot of our customers have also lost emails this week so expected to see a lot more info about it. Our email service was set up so long ago we missed out on an email from Microsoft to pre-warn us.

You'll still be able to use the Apple Mail app if you install Thunderbird, and go back to using it full-time when you can set up an Exchange account. The two won't interfere, and you won't lose any emails. You can try as many alternative email clients as you like without having to worry. (Don't forget to turn off deleting mails from the server after x-number-of-days in whichever new mail client you try).
