Use a Cloud Service (Recommended)

Storing your documents in a cloud service that is linked to your Microsoft Word app is the most reliable method for keeping files editable and synced across devices.

  • Microsoft OneDrive: This is the ideal solution since it's Microsoft's native cloud service. Sign in to the same Microsoft 365/Microsoft account on the Word app on both iPad Airs. When you save a document, save it directly to OneDrive. The file will then be accessible and editable on the new iPad Air via the OneDrive app or directly from the Word app's Open menu.
  • iCloud Drive or Dropbox: You can also use iCloud Drive (via the Files app on your iPad) or Dropbox. To edit the file, you typically need to open it from the location within the Word app, or in some cases, copy the file from the cloud service into the local Word folder within the Files app on the new iPad. Ensure both iPads are signed into the same cloud account.

Check for "Compatibility Mode"

A frequent cause of the read-only problem, especially if the document was originally created on a computer using an older version of Word, is that it's in Compatibility Mode.

  • Open the document in the Word app on one of the iPads.
  • Look for a prompt or banner that indicates the document is in Compatibility Mode (it might appear after a "Save a Copy" action).
  • Follow the prompts to Convert the document to the newest Word format (the .docx file type is standard). This should resolve the read-only restriction for that file. You may need to save a new copy after converting.

Use AirDrop for Direct Transfer

AirDrop is fast and reliable for transferring individual files between nearby Apple devices.

  • On the original iPad, open the Files app or the Word app.
  • Select the file you want to send.
  • Tap the Share button (the square with an arrow pointing up).

Choose AirDrop and select your other iPad Air.

  • On the receiving iPad, select to Accept the file. It will typically be saved to your Downloads folder in the Files app.
  • Open the file from the Files app on the new iPad.
