in systems preference window on my iMac the apple id icon has a red circled 1. I have followed the process, including reading and agreeing to the new conditions for new iCloud terms and conditions. what do i need to do to have the red circled 1 fulfilled?

I think it is because you are using an old macOS. If it doesn't let you do whatever you need to, you can ignore it! Doesn't really matter. But if it does obstruct whatever you need to do, what I suggest you do is install macOS Big Sur, then try again. Hope it helps!
